ORGANIZATIONAL CONTEXT

These jobs are found in Country Offices (COs), Regional Bureaus (RBs), and Headquarters (HQ). The Job holders report to a Head of Unit, Chief, Administration Officer, or the designate.

At this level job holders are expected to take responsibility for completion of a range of processes and activities requiring some interpretation of standard guidelines/practices. Job holders are able to recommend a course of action to staff at various levels and may allocate tasks to other support staff.

JOB PURPOSE

The Fleet Assistant will be responsible for supporting the Fleet Manager in all aspects related to the management and maintenance of the organization's fleet of vehicles. This includes but is not limited to vehicle scheduling, maintenance coordination, fuel management, and record-keeping.

KEY ACCOUNTABILITIES (not all-inclusive)

Vehicle Scheduling: Assist in coordinating the scheduling and allocation of vehicles based on operational requirements. Maintenance Coordination: Coordinate with maintenance staff or external service providers to ensure timely servicing and repairs of vehicles. Fuel Management: Monitor fuel consumption, maintain fueling records, and ensure that vehicles are adequately fueled for operational needs. Inventory Management: Keep track of vehicle parts, supplies, and equipment; assist in inventory replenishment as needed. Documentation and Record-Keeping: Maintain accurate records of vehicle maintenance, repairs, inspections, and other relevant documentation. Compliance: Ensure that all vehicles meet legal and regulatory requirements, including licensing, insurance, and safety standards. Reporting: Generate reports on fleet utilization, maintenance costs, fuel consumption, and other relevant metrics as required.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.

Language: Fluency in both oral and written communication in English and Arabic

Experience: at least 5 years of relevant experience.

OTHER SPECIFIC JOB REQUIREMENTS

Prior experience in a similar role, preferably in fleet management or automotive services. Strong organizational and time management skills, with the ability to prioritize tasks effectively. Proficiency in basic computer applications, including MS Office suite and fleet management software. Excellent communication skills, both verbal and written. Attention to detail and ability to maintain accurate records. Knowledge of relevant regulations and best practices in fleet management.
