JOB TITLE: Business Support Associate (Strategic Engagement)

DUTY STATION: Jakarta, Indonesia
ORGANIZATIONAL CONTEXT:
The position is based in the Indonesia Country Office. The incumbent will report Head of Strategic Engagement Unit and the overall supervision of the Country Director.
The incumbent is expected to demonstrate responsibility and initiative to respond independently to queries with only general guidance. They have responsibility for undertaking specialised business support work, such as organisation and coordination of work to support dayโto-day partnerships engagement with internal stakeholders and public, private sector and external entities.
JOB PURPOSE:
To support and coordinate partnership services to significantly contribute to the effective position and strengthen WFPโs partnerships with the Government, donors, private sector, UN Agencies, and other key stakeholders.
ACCOUNTABILITIES/RESPONSIBILITIES:
- Proactively contribute to a partnerships portfolio, including partner profiling and outreach activities, with the aim to maximize resources and leverage policy and technical support for WFPโs work; Support partner visibility and ensure partner conditions are met.
- Draft quality partnership, donor, and other briefing materials for senior staff that highlight strategic issues to inform best course of action and nurture partnership growth.
- Ensure WFP Corporate partnership information systems (e.g. Salesforce, WINGS, WFPGo), are kept up to date. In the context of the UN system and multilateral fora, support the development of partnerships and joint events with UN agencies, civil society and intergovernmental organizations to advocate for the SDGs and Zero Hunger on the global agenda and advance WFP priorities and objectives.
- Significantly contribute to partnerships strategies, including the development of Partnership Action Plans.
- In coordination with Head of Strategic Engagement, support senior managers in the preparation of strategic agreements, joint strategies and MOUs in order to promote the SDGs and Zero Hunger on the national, regional and global agenda and to reach advantageous outcomes for WFP.
- Draft and/or consolidate comprehensive reports, documentation, correspondence, briefing notes, as per donor and Government requirements.
- Develop, keep up dated, and continually improve the Stakeholder / Partner data base as per the design approved by Senior Management.
- Draft and review correspondence and documentation, providing feedback and making amendments where appropriate, to contribute to production of these materials to time and quality standards.
- Assist in planning, monitoring and reconciling budget(s) to ensure that planned financial resources are used effectively.
- Support the design and implementation of special partnership and stakeholder engagement events, in close collaboration programme and enabling services teams, ensuring ensure events are effectively scheduled, publicized, attended and documented.
- In coordination and supported by the Regional Communications unit, provide communication support to program teams in developing and sharing materials, serve as a focal point for communications related engagement with stakeholders and partners
- Other duties as required
STANDARD MINIMUM ACADEMIC QUALIFICATIONS
Education: First University degree with additional years of related work experience and/or trainings/courses. Preferable to have Advanced University degree in Political Science, International Development, Development Economics, International Relations, Law, Marketing, Communications or other relevant field.
Experience: Minimum six (6) years of relevant working experience with additional skills, knowledge and experience in following areas
Language: Fluency in both oral and written communication in the UN language in use at the duty station and Bahasa Indonesia.
DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE:
- Good communication skills in English and Indonesian
- Has a basic understanding of government strategies and supported engagement of high-level key government officials
- Ability to write briefs, communications products, correspondence with partners
- Good communication skills in order to provide specialised business support services to a wide range of individuals.
- Ability to analyse and interpret financial data and monitor budgets.
- Ability to proactively identify and recommend areas for improvement to the design and delivery of specialised services.
- Ability to build relationships with a variety of individuals across functions and agencies.
- Ability to maintain confidentiality.
