Position Title: Donor Engagement Coordinator
Position Classification: Regular; Nonexempt; Full-Time; 40 Hours/Week
Reports To: Senior Director, Donor Engagement
Location: This position must be based in Boston. The candidate is expected to work from the office 1-2 days/week, with the remaining days able to work from home.
Position Overview
The Engagement and Experience Coordinator, reporting to the Senior Director of Donor Engagement and Experience, provides a variety of administrative and project support for the Donor Engagement and Experience team on the Resource Generation Branch. The Coordinatorโs responsibilities primarily include supporting engagement and experience strategy as well as providing general administrative support for the team.
Responsibilities
Experience Support: (40%)
- Supports donor experience events, webinars, and other virtual and in-person experiences. Tasks include, but are not limited to, venue search, invitation list management, timeline tracking and management, mailing of event invitations, tracking RSVPs, producing materials for events (nametags, registration list, materials), coordinating travel for staff, vendor management, assisting with invoice management and payments, updating database, developing prep materials.
 - Attends events as appropriate
Engagement support: (40%)
- Work closely with the Manager of Donor Stewardship and Senior Coordinator, Donor Engagement, to execute and manage production of stewardship activities for donors, including newsletters, annual reports, ThankView and donor videos, cultivation mailings, and holiday cards. Responsibilities include project management, data reporting and management, proofing, in-house production, working with vendors, and data entry.
 - Assist with executing individual donor stewardship strategies including, but not limited to, data entry, report pulling, creation of materials as requested, managing collateral (ordering, intake, and supply), and assembling gifts as needed.
 - Collaborate across the Resource Generation Branch to ensure all stakeholders are informed of stewardship opportunities and help facilitate a process to incorporate requests.
 - Work with outside vendors as needed.
 - Process and track all invoices related to stewardship expenses.
Team support: (20%)
- Provides administrative support to the Senior Director of Donor Engagement and the Associate Director of Donor Experience and the Donor Engagement team, including assisting with invoice approvals and tracking, processing expenses, tracking credit card charges, assisting with travel booking, and scheduling meetings.
 - Is a point person for Salesforce and responsible for other database tasks, such as list pulling, activity tracking, and reporting, for the Donor Engagement team, including working closely with the Development Operations team as needed.
 - Manages inventory of letterhead, stamps, nametags, Partners In Health (PIH) printed marketing materials, gifts, etc.
 - Supports team wide projects, such as drafting biweekly updates and managing the activity tracker.
Qualifications
Required Experience, Education, Licenses or Certifications
- 0-2 years of related experience. 
Skills
Required:
- Excellent writing and communication skills.
 - Demonstrated competence to assess priorities and manage multiple priorities in a time-sensitive environment and to meet deadlines with attention to detail and quality.
 - Experience working collaboratively as part of a team, with strong interpersonal skills.
 - Represent PIH appropriately.
 - Solid computer skills in a PC environment with the capability to master new software applications and technologies in database management. Excellent skills in the functional use of Microsoft Excel, PowerPoint, and Word.
Preferred:
- Experience with Asana, Salesforce, Blackthorn, and the Microsoft SharePoint
