  1. Maintains day-to-day coordination of all stocks and supplies required for IOMโ€™s direct NFI distributions, Common Pipeline releases, Implementing Partner support and shelter assistance programming. Maintains sufficient availability of NFIs in IOM warehouses in accordance with ongoing programming and commitments.ย 
  2. In close coordination with relevant colleagues, raise and monitor all SNFI purchase requests/ purchase orders; closely coordinate with Supply Chain Unit (SCU) regarding necessary specifications for requested items; maintain records regarding all procurement and transportation for audit purposes; follows up on procurement and delivery progress; liaise with SCU and/or RMU as needed to alleviate blockages or delays; keep unit PM informed of SNFI procurement and delivery progress.ย 
  3. In close coordination with relevant colleagues, maintain regular communication with Clusters (S-NFI, WASH, and Logistics Clusters) and all partners related to management of pipeline requests and supplies movement
  4. In coordination with NFI and Common Pipeline National Officer and SCU colleagues, plan and organize the transportation of supplies to pre-positioning locations and/or distribution locations as needed, and facilitate completeness of all records.ย 
  5. Act as Common Pipeline logistic focal point, providing overall details of Common Pipeline supplies, including the volume, warehouse location, and contact details to partners, facilitating smooth process in dispatching supplies for partnersโ€™ distribution.
  6. Produce regular SNFI and Common Pipeline stock reports for programmatic use, including all relevant receiving and delivery information, and essential details regarding item typologies, quantities, stock availability and stock locations.ย 
  7. Support with SNFI and Common Pipeline contingency stock planning and reporting, including the provision of regular updates to IPs, Clusters, Common Pipeline Partners and/ or other actors, as requested or needed.ย 
  8. Assists in the technical evaluation of supply specifications and quality control testing in advance of procurement. Contribute to the development and/or updating of the SNFI supply catalogue, including all relevant specifications for each item.ย 
  9. Undertake warehouse monitoring visits and liaise with counterparts as per program requirements.ย 
  10. Participate in internal SNFI unit Supply Chain Coordination meetings and/or Logistic Cluster meetings and prepare meeting minutes for SNFI unit reference.ย 
  11. Perform other duties as may be assigned. Education
    • High school diploma withย seven years of professional work experience; or
    • Bachelorโ€™s degree in Logistics, Supply Chain Management, Information Sciences, Economics, International Relations or a related field from an accredited academic institution withย five years of relevant professional experience.

      Experience

      • Experience supporting supply chain operations, logistics, warehousing, supplies management or other relevant fields a must.
      • Experience in humanitarian emergencies, project implementation and management (including monitoring, distributions, field assessments and reporting) is a distinct advantageย 
      • Experience in NFI Common Pipeline programming in emergency humanitarian response is an advantage.ย 
      • Experience in humanitarian-based logistics and supply management processes (including tracking of purchase requests, supply movement monitoring, and reporting) a distinct advantage Skills
        • Excellent communication skills, ability to coordinate and correspond in a clear and concise manner;ย 
        • Ability to complete tasks in a timely and accurate manner;ย 
        • Ability to work effectively and harmoniously in a team of colleagues of varied cultural and professional backgrounds;ย 
        • Ability to work effectively under pressure and analyse situations with sound judgment;ย 
        • Good level of computer literacy, including EXCEL, MS WORD, MS TEAMS, OUTLOOK, Power BI, etc.ย 
        • Required high attention to details.ย 
        • Strong reporting and database management Languages
