External and Corporate Relations Vice-Presidency (ECR)

The mission of External and Corporate Relations (ECR) is to help deliver financial and political support for the World Bank Group, strengthen the Bank Groupโ€™s role as a global thought leader in development by enhancing and safeguarding its reputation, and supporting operational teams to achieve country outcomes. ECR manages corporate communications and global engagement withย key stakeholders, including media, civil society, foundations, private sector, donor countries, and international organizations, as well as employee engagement. ECR also manages strategic communications for the World Bankโ€™s Regions and Global Practices and leads the management of reputation risk.

ECR Europe manages relationships with key stakeholders, including government counterparts, parliament, civil society, private sector, media, academia and international organizations in the traditional European development partner and donor countries. As part of the World Bankโ€™s External and Corporate Relations function in Europe, the World Bank's London Office (the London Office) is responsible for leading the dialogue between the WBG and constituencies in the United Kingdom and Ireland.

The London Office is integrated into ECREU, which is part of the ECR Vice Presidency, and is headed by a Special Representative, who reports to the Special Representative, Europe, ECREU, based in Paris.

The overall objective of the International Affairs Associate is to support the World Bank Groupโ€™s stakeholder relationships in the United Kingdom and Ireland and to ensure the effective running of the World Bank London office.

Responsibilities:

Program Delivery:
โ€ข Taking on distinct research activities and drafting briefing material for senior management.
โ€ข Compiling senior management briefing packs for meetings and visits, including sourcing content from World Bank Group colleagues, liaising with external partners, and organizing schedules and logistical elements.
โ€ข Tracking and advising on specific UK and Ireland stakeholders of interest to the World Bankโ€™s London Office, as agreed with the Special Representative.
โ€ข Support the London teamโ€™s relationship management by liaising with new and existing government counterparts and stakeholders in the UK and Ireland.ย 
โ€ข Liaising with internal World Bank Group colleagues for information sharing, intelligence gathering and meeting coordination.ย ย 
โ€ข Leading the organization of meetings with external stakeholders, taking minutes and sharing summaries with colleagues.

Work Program Administration:
โ€ข Coordinating logistics of World Bank senior management visits to the UK and Ireland, which may include arranging meetings, transportation and protocol matters.ย 
โ€ข Supporting organization of consultation meetings, stakeholder outreach events, and report launches.ย 
โ€ข Preparing presentations for internal and external audiences.ย ย 
โ€ข Maintaining stakeholder contact lists and a calendar of events to support London office strategic planning.

Office Management:
โ€ข Providing administrative support to the ECR London team and other IBRD teams, as well as select visiting missions.ย 
โ€ข Handle visa requests for London-based IBRD/MIGA staff and visiting missions.ย 
โ€ข Supporting Finance team with the coordination on London-based financial matters, including vendors, invoicing, and transmission of documents.ย 
โ€ข Responding to correspondence and general public queries;.
โ€ข Assisting with the overall organization, administration and functioning of the London Office, coordinating closely with IFC, IT and reception.
โ€ข Liaising with the UK Foreign, Commonwealth and Development Office (FCDO) on protocol and procedural diplomatic matters, e.g. visas, and supporting World Bank participation in the UK Based International Organizations (UKBIO) group.
โ€ข On limited basis, providing support to non-office events and staff, such as the UK Chapter of the 1818 Society and staff telecommuting from the UK.
โ€ข Undertake ad hoc duties as needed.

Selection Criteria

โ€ข We require a relevant mix of education and experience: masterโ€™s degree with 2 years of experience or equivalent combination of education and experience in a relevant discipline (communications, journalism, international affairs, or other related fields).ย 
โ€ข A good understanding of the UK authorizing environment (Government, NGOs, parliament, etc.) and how it relates to the relationship between the UK and World Bank Group. Knowledge of the Ireland authorizing environment is also an advantage.
โ€ข Good knowledge of the strategic priorities of the World Bank Group and an appreciation of the role and function of the London Office.
โ€ข Effective analytical, research and problem-solving skills, and ability to synthesize information.
โ€ข A strong track record of taking initiative, a clear drive for results and evidence of client orientation.
โ€ข Proven ability to organize, prioritize and coordinate work and other activities. Ability to work independently as well as effectively under pressure; ability to handle concurrent activities simultaneously, prioritize competing demands, and to extend self to meet deadlines.
โ€ข Outstanding interpersonal and communications skills and the ability to deal diplomatically and effectively with clients at all levels in a multicultural environment. High degree of judgment, tact and discretion in handling sensitive and confidential issues.
โ€ข Excellent teamwork skills, flexible and willing to lend a hand to colleagues, taking on tasks that go beyond core job description.
โ€ข Hands-on experience with administrative tasks and complex logistical arrangements.
โ€ข Strong office technology skills. High level of proficiency in advanced functions of standard World Bank technology packages.
โ€ข Excellent command of verbal and written English.
โ€ข Experience of development work either at field or at HQ level is an advantage.
