Specific responsibilitiesย 

Partner Identification and Assessment Support: Assist in the identification of local and national NGOs and CSOs; support the coordination of partner assessments and contribute to the documentation of capacity strengthening plans.ย 

Project Cycle Management (PCM) Support: Facilitate the practical application of partnership SOPs and tools by supporting field teams with documentation, scheduling, and information management. Assist in the review of partner performance reports and supporting documents.ย 

Grants and Agreement Administration: Support the development of partner sub-grant agreements and amendments in collaboration with the Support Unit. Track reporting deadlines, ensure timely submission of partner reports, and conduct initial reviews for completeness.ย 

Capacity Development Support: Assist in coordinating partner capacity development activities, including logistical arrangements for trainings and workshops. Maintain records of capacity strengthening initiatives and field support visits.ย 

Coordination and Representation Support: Support coordination efforts with partners and other agencies by organizing meetings, preparing minutes, and following up on action points. Maintain orderly communication and filing systems with partner agencies.ย 

Documentation and Compliance: Maintain the Grants and partnership filing system (digital and physical), ensuring all agreements, reports, assessments, and key correspondence are properly archived and easily accessible for audits and reviews.ย 

Monitoring Support: Support field monitoring visits to partners by preparing necessary documents, coordinating schedules, and compiling monitoring data and notes.ย 

Support for Grantsย 

Role Overview: The Partnership and Grants Officer will support routine documentation and administrative tasks within the Grants Unit, focusing primarily on file management. Specific roles and responsibilities include, but are not limited to:ย 

Grants Tracking & Filing: Maintaining the grants tracker (including the overview, reporting timelines, pipeline concepts/proposals, and rejected or withdrawn entries) and managing the filing of all grant documentation.ย 

Compliance Monitoring: Assisting in tracking and highlighting donor requirements, rules, regulations, and both internal and external deadlines.ย 

Development & Quality Control: Supporting the development of donor applications and reports while ensuring donor compliance and high-quality standards.ย 

Project Cycle Management (PCM): Assisting with PCM tasks, specifically regarding filing, documentation, and \"PCM Health Checks.\"ย 

Learning & Analysis: Assisting with the documentation, analysis, and sharing of lessons learned from the proposal and reporting processes, ensuring alignment with donor rules and regulations.

a. Professional competenciesย 

Generic professional competencies for this position:ย 

Minimum 2 years of experience in a related field, including partnerships support, grants administration, or project support.ย 

Bachelors' degree in Development Studies or related fieldย 

Understanding of basic donor regulations and grants management processes.ย 

Good organizational skills and administrative skills, with sharp attention and focus to detailย 

Good computer skills, particularly in Microsoft Windows Word and Excel.ย 

Willingness to travel to field offices and work in challenging environments according to travelย  requirements.ย 

ย 

Context-related skills, knowledge, and experience:ย 

Good cultural awareness and sensitivity.ย 

Ability to manage multiple administrative tasks and maintain organised and orderly systems.ย 

Knowledge of the NGO operations and the dynamics of the humanitarian sector is an advantage.ย 

Excellent written and oral communication skills in English.ย
