    ORGANISATIONAL CONTEXT:
    This position is based in a Country Office and reports to the Protocol Associate. At this level, the incumbent is expected to assist in a variety of protocol and general administrative functions, requiring the application and interpretation of UN rules, host country regulations, and established diplomatic practices. The incumbent provides protocol guidance and administrative recommendations to internal stakeholders and may coordinate tasks with other support staff to ensure the smooth execution of activities.
    JOB PURPOSE:
    The role involves delivering daily, specialized, client-focused, and cost-effective protocol and general administrative services to facilitate the effective functioning of the Country Office. This includes assisting in diplomatic and official events, overseeing visa and residency matters for international staff, liaising with government and diplomatic channels, and ensuring that engagements reflect the UNโ€™s values of professionalism, respect, and cultural awareness. The Protocol Assistant contributes to the Country Officeโ€™s credibility, operational continuity, and diplomatic relations through timely, accurate, and high-standard service delivery.

    KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):

    Assist in organizing official visits, high-level ceremonies, conferences, and special events by supporting logistical and protocol arrangements, including preparing invitation lists, coordinating RSVPs, and arranging seating plans
    โ€ข
    Support the preparation and follow-up of visa, residency, and protocol-related documentation by coordinating with embassies, immigration authorities, and relevant government offices under the guidance of the Protocol Officer
    โ€ข
    Maintain and regularly update the database of visas, accreditations, residence permits, and other protocol documents for international staff, consultants, and official visitors
    โ€ข
    Draft routine correspondence related to protocol matters, including letters to government officials, diplomatic missions, and internal units, ensuring accuracy and consistency with official standards
    โ€ข
    Assist in scheduling and coordinating transportation, accommodation, and meeting venues for official visitors and delegations in collaboration with Travel and Admin teams

    Help prepare briefing materials, agenda notes, and information packages for official missions, visits, and external meetings

    Support the organization of press/photo opportunities and events by liaising with Communications and Security teams as instructed

    Monitor the expiration of key diplomatic and residency documentation and alert the Protocol Officer and relevant units in advance to ensure timely renewals
    โ€ข
    Maintain proper filing systems, both digital and physical, for confidential protocol records and ensure easy retrieval of information when needed
    โ€ข
    Assist in monitoring relevant media, news, and updates related to host country government, diplomatic community activities, and protocol norms to inform planning
    โ€ข
    Provide courteous front-line support to incoming official guests and delegations, ensuring professional and culturally respectful interactions
    โ€ข

    Participate in the preparation of reports, summaries, and documentation related to protocol engagements, lessons learned, and mission outcomes

    Perform basic research to support protocol planning, including cultural norms, official ranks, flag protocols, and ceremonial order of precedence
    โ€ข
    Support the maintenance of updated contact lists for diplomatic missions, government protocol officers, and other stakeholders
    โ€ข
    Carry out other related protocol support duties as assigned by the Protocol Officer or supervisor to ensure the smooth execution of protocol functions

    Qualifications and Competencies:
    โ€ข
    Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable
    โ€ข
    Language: proficiency (level C) of English and intermediate knowledge (level B) of another official UN language (French, Arabic, Chinese, Russian, or Spanish) or Portuguese is an asset.
    โ€ข
    Experience: At least 2 of relevant experience in business support, administration, or operational management within the UN system or international organizations.
    โ€ข
    Skills: Strong organizational and analytical skills, with proficiency in budget monitoring and report preparation. Excellente communication and interpersonal skills, with the ability to work effectively in a multicultural environment.
