    Organizational Setting and Reporting Relationship

    The position of Senior Workplace Hospitality Assistant is assigned to the Workplace Management and Hospitality Division (CSWH) within the Corporate Services Department (CSD). You will be based at our Headquarters in Manila, Philippines.

    You will report to designated International Staff and Senior Officer.

    Your Role

    As a Senior Workplace Hospitality Assistant, you will in compliance with internal controls and guidelines, monitor functions and events arranged by the hospitality services, and focus on supporting and monitoring availability of services and condition of facilities, customer requests and feedback, service contractors, and front and back of the house assets. Additionally, you will provide operational and administrative support for the food services located across HQ.

    You will:

  • Provide support in monitoring arrangements for official/special functions and ensure venue and catering requirements are delivered. Respond to client feedback related to quality of services and an ensure immediate resolution is implemented.
Monitor the implementation of food services' related contracts and evaluate the annual performance of contractors ensuring compliance with the provisions of the contract and Service Level Agreement. Conduct market research and vetting of potential suppliers that can be considered as sub-concessionaires. Monitor and verify the (i) performance of sub-concessionaires based on feedback, sales, and compliance with safety and quality management standards; and (ii) service quality, serving portion, prices and labelling at the cafeteria, deli and Grab n Go, and sub-concessionaire areas. Help in evaluating new products offered, slow-moving items, and trends in services operations; engage pop-up stores to support related promotions, festivals, and specials for the year; and in implementing environmental projects in the Staff Hub areas and other dining areas and catering facilities across the HQ. Contribute to procurement control by managing requirements, ordering and checking condition of all service items, dining utensils, supplies, consumables, and minor services equipment to ensure compliance with specifications and best prices. Help monitor utilization in relation to procured items. Handle regular inventory of all service operating equipment with the service contractor, verify accuracy of inventory, analyze losses, recommend and implement inventory control and regulations, and coordinate disposal of obsolete equipment with respective unit in charge. Handle the identification, piloting, installation, upgrades, testing, operationalization, and report documentation of service technology tools such as POS (point of sale) machines, vending machines, self-ordering machines, service information display screens, customer-satisfaction-polling devices. Help identify opportunities for digitization of service and contract related documents, as well as automation of transactional processes. Provide inputs in the enhancement of business processes, respond to recommendations regarding food services management systems, and coordinate required actions. Perform other duties that may be assigned as reflected in your workplan.

Qualifications

You will need:

Bachelor's degree in Hotel, Restaurant and Institution Management (BS-HRIM) or other relevant degree. At least 5 years of working experience particularly in the Food Service Industry such as cafeteria, catering industry, hotel, or banquet service with direct experience in kitchen management, menu planning, food production, procurement and quality assurance. Working knowledge of policies, guidelines, and procedures in asset management, budget monitoring and control, and inventory management. Proficiency in the use of relevant computer-based programs and applications, including databases such as Oracle, Outlook, SharePoint, and Microsoft Dynamics Business Central. Working knowledge of HACCP, ServSafe, ISO14001/ISO45001/ISO50001, and best practices. Exhibit skills in addressing procedural, operations and strategic issues and provide recommendations to improve the effectiveness in unit operations and services. Experience working with individuals from different cultural/national backgrounds. Liaise and work with staff within own work location and throughout ADB collaborate with teams as a constructive team member. Good command of verbal and written communication skills in English. Additional Information

This is a fixed-term appointment for an initial fixed period of 3 years. At the end of the initial period, this appointment may, at the option of ADB, be extended once for up to 2 years, converted to a regular appointment, or ended on its expiration date. This decision will be made in the overall interest of ADB that: (a) it will require Staff's particular blend of skills and experience in the foreseeable future; and (b) Staff's performance is satisfactory and they are suitable for further employment.
