Under the overall supervision of the Senior Resources Management Officer and direct supervision of IOMย Ghanaโs Finance Officer, in close coordination with the relevant units in the Regional Office for West and Central Africa, the successful candidate will assist with all finance needs of the mission, across programmes, projects and departments.
- Support the timely review of the cash position of local accounts to ensure sufficient funds for disbursements.
- Act as a point of contact with local bank management on day-to-day operational matters as well as the cash management of the Mission.
- ย Assist in the preparation of the payroll by executing validity checks on monthly payroll results;
- Review and ensure all supporting documentation and signatures are obtained before finalising vouchers; verify invoices and ascertain that the equipment, supplies or servicesย they refer to were duly received or provided before proceeding with payment request;
- Compute travel claims, and imprest accounts and verify authenticity of the supporting documents provided.ย
- Draft routine correspondence, type letters, reports, memoranda, and faxes, as well as IOM documents and forms related to IOM operational and administrative matters, from audiotapes and manuscripts. Format and file correspondence, reports and documents prepared by staff.ย
- Assist in the preparation of funding requests for the mission and ensure that sufficient funds are available locally;
- Retrieve filed and archived documents when needed for audit or other queries within the set time frames and assist in the preparation of responses to queries.
- Ensure proper and systematic filling of all posted payments and other accounting documents according to the established standards;
- Responsible for the Petty Cash of the office;ย
- Make recommendations on procedural improvements in matters relevant to financial, budgetary and administrative.
- Perform other related duties as required. Education
- High School diploma with four years of relevant experience; or,
- Bachelorโs degree in Business Administration, Accounting, Finances, or related fields with two years of relevant professional experience. Accredited Universities are those listed in the UNESCO World Higher Education Database. ย Experience
- Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook; previous experience in Oracle ERP is a distinct advantage;
- Attention to detail, ability to organize paperwork in a methodical way;ย
- Discreet, details and clients-oriented, patient and willingness to learn new things; and,
- Interfaces across units and departments within IOM to extract relevant information
- Effectively works with vendors and service providers in compliance with IOM procedures to secure cost-effective quality solutions for IOM.
- Prior work experience with international humanitarian organizations, non-government or government institutions/organizations in a multi-cultural setting is an advantage.ย Skills
